Event Organisation and Logistical Services – WP3 StEP Project
SASPAC is conducting a market research to identify qualified economic operators capable of providing event organisation, logistical, and secretariat services for the implementation of Work Package 3 (WP3) activities within the EUSAIR Stakeholders Engagement Point (StEP) Project.
The StEP project represents a key component of the EUSAIR governance support architecture, aiming to strengthen stakeholder interaction, enhance policy coordination, and facilitate the integration of EUSAIR priorities into national and regional programmes, including IPA III.
Through the development and strengthening of the EUSAIR Stakeholders Platform (ESP) and the promotion of structured engagement mechanisms, the project supports inclusive participation of a wide range of actors, including public authorities, academia, civil society, private sector, and financial institutions.
WP3 plays a key role in this process by organising multi-stakeholder dialogue activities, thematic working groups, and transnational events aimed at fostering cooperation, generating project ideas, and supporting the implementation of the EUSAIR Action Plan.
Within this context, the selected service provider will support the design, coordination, and delivery of WP3 activities, including physical, hybrid, and online events, ensuring high-quality logistical, technical, and organisational support in line with EU standards.
Tasks
The service provider is expected to:
- Support the design and planning of events, including agenda structuring and session development;
- Provide logistical and operational support for events (venue coordination, registration, communication);
- Manage hybrid and online event platforms and ensure technical delivery;
- Coordinate participants, speakers, and stakeholders;
- Provide facilitation and moderation support, including interactive tools;
- Ensure smooth implementation of events, including real-time troubleshooting;
- Support the organisation of thematic working groups and follow-up activities;
- Prepare event reports, summaries, and documentation;
- Collect and analyse participant feedback;
- Support communication, dissemination, and visibility of activities in line with EU requirements.
The service provider may also support transnational activities such as flagship events, workshops, and participatory initiatives targeting a wide range of stakeholders, including youth and academic communities.
Criteria
Interested economic operators should demonstrate:
- Proven experience in organising international and multi-stakeholder events;
- Experience in EU-funded programmes or institutional environments;
- Capacity to manage physical, hybrid, and online event formats;
- Experience in multicultural and transnational contexts;
- Relevant references from similar assignments;
- Strong organisational and technical capacity;
- Ability to operate in English (written and spoken);
- Knowledge of EUSAIR or similar frameworks is considered an asset.
Location
Activities will be implemented in Albania and across EUSAIR countries, or online, depending on the format of events.
Timeline:
This call for expression of interest is open from 10 April – 24 April 2026.
The deadline for submission of applications is 24 April 2026.
The contract duration is expected to run until the end of 2027. Estimated number of events within this time frame is six (6) events.
